What is a CRM and what is it used for in a company?

CRM stands for Customer Relationship Management. In practice it is the single place where a company keeps its customers, the conversations with them and the sales opportunities — instead of spreadsheets, separate inboxes and phone notes.

Short answer

  1. A CRM is an application where you keep contacts, companies and sales opportunities in one place.
  2. Every customer has a record with the full history: emails, calls, meetings, quotes sent and the stage they are in.
  3. Opportunities move along a visual pipeline, from new lead to won or lost.
  4. The same data produces the reports: how many quotes are open, what the pipeline is worth and where deals get stuck.
  5. Use it as the single source of truth for the sales team; if the information is not in the CRM, it effectively does not exist.

What a CRM actually contains

  • Contacts and companies — records with contact details, role, custom fields and the contact-to-company link.
  • Deals — value, stage, probability, expected close date and owner.
  • Activities — calls, meetings, tasks and reminders attached to a contact or a deal.
  • Communication — emails, WhatsApp and SMS messages sent from the record and internal notes, all on the customer record.
  • Reports — pipeline by stage, activity per rep, conversion rate and weighted value.

A real example from a distribution company

A distribution company with 6 reps received requests by email, on WhatsApp and by phone. Each rep kept their own spreadsheet. At month end, the owner could not say how many quotes were open.

After moving to a CRM, every request becomes a deal with a value and a stage. The pipeline report shows 240,000 RON in quoting and 18 deals with no activity for over 14 days, in real time.

Common mistakes when introducing a CRM

  • Treating it as an address book and never entering deals — then you have neither a pipeline nor a weighted value.
  • Requiring 30 mandatory fields on creation. Reps fill them in at random and the data becomes unusable.
  • Copying the spreadsheet process instead of defining clear pipeline stages with entry criteria.
  • Not moving email into the CRM. If conversations stay only in personal mailboxes, the customer record is empty and nobody trusts the CRM.

How 4softcrm helps

  • A record for every contact and company, with an activity timeline and custom fields.
  • A configurable visual pipeline by stage, with value and probability on each deal.
  • Plans by user tier (up to 5, 25, 50 or 100), not a fee for every person.
