Where is CRM data stored and why does it matter that it is in the EU?
The first question in any data audit is "where is the data stored: on our own server, in the cloud, in the CRM, in spreadsheets or on paper?". The answer must be documented, not assumed.
Short answer
- Data in a cloud CRM sits in the data centres of the vendor or of their hosting provider.
- If those data centres are outside the European Economic Area, the transfer requires additional safeguards.
- The usual safeguards are standard contractual clauses and a transfer impact assessment.
- EU hosting does not make you compliant automatically, but it removes the most complicated compliance chapter.
- Ask in writing for the data centre locations and the vendor’s list of sub-processors.
What to ask the vendor before signing
- "In which country are the data centres holding my production data?"
- "Where are backups made and how long are they kept?"
- "Who are the sub-processors and which part of the data do they touch?"
- "Will you sign a data processing agreement (DPA) with me?"
- "How do I get a full export and how fast, if I close the account?"
Why it matters in practice
- A transfer outside the EEA without safeguards is itself a breach, even if no incident occurred.
- Large B2B customers ask for data location in their tender documents; a vague answer can disqualify you.
- In an inspection you must be able to show where the data sits — not just the vendor’s name.
- Latency and availability are also better when the data centre is close to the users.
Common mistakes
- Assuming a vendor headquartered in the EU automatically hosts in the EU.
- Ignoring integrations: a connector that ships contacts to a third-party service changes the data map.
- Documenting nothing, then being unable to answer the first question of an audit.
How 4softcrm helps
- Infrastructure in the European Union, backups included.
- Full data export on request, in a structured format.
- A natively integrated 4b2b ecosystem, hence fewer third-party connectors moving data outside the EU.
