How do I choose the right CRM for my company?
A common mistake is picking a solution because it is internationally popular, without analysing the internal process. The right choice starts the other way round: from how you actually sell.
Short answer
- Write down the real stages a sale goes through in your company, from first contact to contract.
- Pick a CRM that can reproduce exactly those stages without custom development.
- Check the pricing model: per seat or flat. The difference becomes large at 10+ people.
- Ask for a trial with your own data, not a demo with showcase data.
- Confirm where the data is hosted and how you export it if you leave the vendor.
The five criteria that matter
- Process fit: can you configure stages, fields and rules without a consultant?
- Total cost over 3 years, not the monthly list price: users, modules, rollout, training.
- The integrations you already use: email, calendar, WhatsApp, invoicing and your accounting software.
- Adoption: if reps do not open it daily, every feature is irrelevant.
- Exit: full data export, in an open format, at any time.
Questions to ask in the demo
- "Show me how I add a new pipeline stage, right now, on screen." — if the answer is "we will send you a customisation quote", you just learned the real cost.
- "What happens to the price if I add 5 more reps next month?"
- "How do you import my current base and what do you do with duplicates?"
- "Which data centre do my customer records physically sit in?"
- "Will you give me a full export, including activity history, if I leave?"
Common selection mistakes
- Choosing by feature count. You will use 15% of them and pay for 100%.
- Comparing only the entry price, ignoring that the essential modules sit on the higher tier.
- Not involving a single sales rep in the decision, then wondering why nobody uses it.
- Leaving data migration for last. Dirty data is the main reason rollouts drag on.
How 4softcrm helps

- Plans by user tier (up to 5, 25, 50 or 100), with prices published on the pricing page.
- Data hosted in the European Union, with a full export on request.
