Lead scoring by rules: call the best-fit leads first

You define the scoring rules — field, condition, points — and 4softcrm applies them to every lead and deal, so reps stop wasting time on contacts that don’t fit.

Not every lead deserves the same effort, but without a shared score reps call in random order and lose the best opportunities. In 4softcrm you define scoring rules once: for example +20 points if the industry is one you serve, +15 if the company has more than 50 employees, +10 if the lead came through the web form. The rules apply to leads and deals, and the score is visible in lists and on every record, so the team works the best-fit opportunities first. The scoring is transparent — it is your rules, not a black box — and everything runs with data hosted in the EU.

  • Scoring rules you define — field, condition and the number of points added or subtracted.
  • Applies to leads and deals — the same mechanism for incoming leads and for open opportunities.
  • Transparent score — you know exactly which rules produced the number, because you wrote them.
  • Fit criteria — industry, company size, region, lead source or any custom field.
  • Sort and filter by score — lists show the best-fit leads first.
  • Rules you can change any time — adjust the points as you learn what converts in your market.
  • Automatic assignment — new leads can be distributed round-robin, by load or by the first matching rule.
  • Lead conversion — a qualified lead becomes a deal in the pipeline without re-entering data.

How a lead’s score is computed

Each scoring rule has three parts: the field it checks (industry, number of employees, source, a custom field), the condition (equals, greater than, contains) and the points it adds or subtracts. When a lead or deal is created or updated, 4softcrm evaluates your rules and computes the total. The result is a number you can sort and filter by — and because you defined every rule, you always know why a lead scored high.

Why rules you control

A score is useful only if the team trusts it. With rule-based scoring the logic is explicit: the sales manager decides what matters (the right industry, the right company size, a lead that came from a referral) and can explain every number. When you notice that a criterion no longer predicts anything, you change its points and the score follows. No hidden model, no waiting for the system to "learn".

From score to the right rep

The score is only useful if the lead reaches someone quickly. 4softcrm can assign new leads automatically — round-robin, by current load or by the first matching rule (for example by region or industry). Once qualified, the lead is converted into a deal and enters the pipeline with its history, so nothing is retyped.

Data in the EU and part of the 4b2b ecosystem

Scoring runs on data hosted in the European Union, GDPR-compliant. The leads you score can come from the web forms, from a CSV import with field mapping and deduplication, or from your own systems through the API and webhooks, and the company registry search (Romania and Estonia) helps you fill in company details before you qualify them.

Frequently asked questions

How is a lead’s score computed?

From the rules you define: each rule checks a field (industry, company size, source, a custom field) against a condition and adds or subtracts points. 4softcrm applies the rules to leads and deals and shows the total on the record and in lists.

Is the scoring done by AI?

No. Lead scoring in 4softcrm is rule-based: the score comes only from the criteria and points you set, so every number can be explained.

Can I see why a lead scores high?

Yes. The score is the sum of your own rules, so you can trace it back to the criteria the lead meets — for example the right industry plus the right company size.

Can leads be assigned to reps automatically?

Yes. New leads can be distributed round-robin, by current load or by the first matching rule, so they are contacted while still warm.

Is lead scoring available on all plans?

Yes. Plans differ only by the number of users (5, 25, 50 or 100); scoring is included on every plan.

Where is the lead data stored?

In the European Union, GDPR-compliant. Lead and deal data are hosted in the EU.
